When someone searches "dentist near me", "best biryani in Lucknow" or "CA in Andheri", the first thing they see is usually a map with three businesses under it. That box is powered by Google Business Profile (earlier called Google My Business), and for most local businesses it brings more calls and visits than the website itself.
The good news: it's free, and most of your competitors haven't set theirs up properly. This guide shows you exactly how to create, verify and optimise your profile so you show up more often — and get chosen when you do.
What is Google Business Profile?
Google Business Profile is the free listing that appears in Google Search and Google Maps when people look for your business by name or search for what you sell nearby. It shows your:
- name, category, address (or service area) and opening hours
- phone number, website and directions
- photos, reviews and star rating
- products, services, offers and updates
For shops, clinics, restaurants, coaching centres, showrooms, real-estate offices and service providers, this listing is often the first impression a customer has of you.
Step 1: Create your profile
- Go to Google Business Profile (search "Google Business Profile" and click Manage now) and sign in with a Google account you'll keep long-term — ideally a company account, not a staff member's personal email.
- Enter your business name exactly as it appears in real life — on your signboard, GST certificate and invoices.
- Choose your primary category. This is the single most important choice (more on it below).
- Add your address if customers visit you. If you go to customers instead, choose to hide the address and add your service areas (cities or localities).
- Add your phone number and website.
Tip: If someone else (an old employee or agency) already created a profile for your business, don't make a duplicate. Request ownership of the existing listing instead — Google shows this option when you search for the business while signed in.
Step 2: Verify it
Your profile won't fully show in Search and Maps until it's verified. Depending on your business, Google may ask for a short video showing your signboard, workplace and proof of business, or offer phone, SMS, email or postcard verification.
For video verification, record one continuous clip that shows:
- your street or landmark, then the outside of your shop or office with the name board
- the inside — counter, equipment, stock or workspace
- proof that you run the business, such as a key that opens the shop, a GST certificate or a utility bill in the business name
Verification can take a few days. Don't edit the name, address or category while it's pending — changes can restart the review.
Step 3: Fill in every section (completeness matters)
Google says local results are based mainly on three things: relevance (how well your profile matches the search), distance (how far you are from the searcher or the place they typed) and prominence (how well known and well reviewed you are). You can't move your shop closer to customers, but you can do a lot for relevance and prominence.
Categories
Pick the primary category that describes what you are, not everything you do — "Dental clinic", not "Health". Then add a few additional categories for other genuine offerings (for example "Cosmetic dentist" or "Orthodontist"). Look at the top-ranked competitors in your area to see which categories they use.
Business description
You get up to 750 characters. Explain in plain words what you do, who you serve, where, and what makes you different. Mention your main services and locality naturally — no keyword stuffing, no links, no offers in the description.
Hours
Keep regular hours accurate and add special hours for festivals and holidays. Wrong hours lead to angry reviews ("came here, it was closed").
Products and services
Add each service or product with a short description and, where possible, a price or "starting from" price. These help your profile match more specific searches like "root canal treatment" or "wedding photography packages".
Attributes
Tick everything that applies — wheelchair access, women-led, online appointments, Wi-Fi, parking and so on. Small details can decide which business a customer picks.
Step 4: Add great photos
Profiles with good, recent photos look trustworthy. Add:
- Logo and cover photo
- Exterior shots from the road, so people can recognise you
- Interior shots of your shop, clinic, office or dining area
- Team photos — people trust faces
- Work or products — finished projects, dishes, before-and-after results (with consent)
Use real photos taken on a good phone in daylight. Avoid stock images and photos with heavy text. Add a few new photos every month; it keeps the profile active.
Step 5: Get more (genuine) reviews
Reviews are the biggest prominence signal you control. Both the number and the rating matter, and so does how recent they are.
How to get more reviews the right way:
- Copy your review link from the profile ("Ask for reviews").
- Send it to customers right after a good experience — on WhatsApp, SMS or email. A short, personal message works best: "Thank you for visiting us today! Would you mind sharing your experience? It really helps a small business like ours."
- Put a QR code with the review link at your counter, on bills and on delivery packaging.
- Make it part of your team's routine — not a once-a-year drive.
What not to do: don't buy reviews, don't offer discounts or gifts in exchange for reviews, and don't ask only happy customers while filtering out others ("review gating"). These break Google's policies, and fake reviews can be removed in bulk — along with your credibility.
Reply to every review
Thank people for good reviews by name and mention what they liked. For negative ones, reply calmly, apologise for the experience, and offer to sort it out offline with a phone number. Future customers read your replies more than the complaint.
Step 6: Post updates every week
Use updates, offers and events to share new arrivals, festive offers, workshops, results or tips. Posts keep your profile fresh, give people a reason to choose you today, and can include a button like "Call", "Book" or "Learn more".
A simple rhythm: one post a week, one offer a month, and an event post whenever you have one.
Step 7: Make your website and listings agree with each other
Google cross-checks your profile with the rest of the internet. Make sure your name, address and phone number are written the same way on:
- your website (put them in the footer and on the contact page)
- directories like Justdial, IndiaMART, Sulekha or Practo (whichever suit your industry)
- social profiles and marketplace listings
If you serve several areas, create a page on your website for each main locality or city, with real content about that location — not copy-pasted text with the city name swapped. Link your Business Profile to the most relevant page.
Step 8: Track what's working
The Performance section of your profile shows how many people found you, which searches they used, and how many called, asked for directions or visited your website. Check it monthly:
- Which search terms bring you up? Add those services to your profile and website.
- Are calls going up after you started asking for reviews?
- Do offer posts lead to more website clicks?
Use a dedicated phone number or a UTM-tagged website link on the profile if you want to separate Google Maps enquiries from other sources.
Common mistakes that hold profiles back
- Keyword-stuffed names like "Sharma Dental Clinic Best Dentist in Noida" — this can get the profile suspended.
- Duplicate listings for the same location — they split your reviews and confuse Google.
- A virtual office or PO box as the address — not allowed for a storefront listing.
- Wrong category — the fastest way to be invisible for the searches that matter.
- Ignoring the profile after setup — no new photos, posts or replies for months.
How long does it take?
A complete, verified profile often starts appearing for nearby searches within a few weeks. Ranking higher for competitive searches — "skin clinic in Bandra", "interior designer Gurgaon" — usually takes a few months of steady reviews, photos and posts.
